Why Spreadsheet-Based Document Tracking Becomes Difficult

Spreadsheets are a reasonable first system. They become difficult for predictable reasons as the subcontractor list grows - none of them are about effort or competence.

Dates do not watch themselves

A spreadsheet cell holding an expiration date does nothing as that date approaches. Someone must remember to sort, scan, and follow up - every week, without exception. Miss a week during a busy season and expirations slip past silently.

Status gets ambiguous

Free-text statuses drift: 'sent', 'got it', 'ok?', 'waiting'. Two people mean different things by the same word, and 'received' quietly starts counting as 'verified'. Structured statuses with fixed meanings remove that ambiguity.

There is no follow-up trail

When a client asks what happened with a certificate, a spreadsheet shows the current cell value - not the reminder history, who verified what, or when. A tracking system keeps that audit trail as a byproduct of normal use.

None of this requires enterprise software. It requires a register with structured statuses, automatic date math, scheduled reminders, and a log - which is the whole of what Subtavia does.
